AI Isn’t Making You Faster. It’s Just Accelerating Your Backlog.

You bought the AI subscriptions. You hosted the prompt engineering workshops. Your team is churning out code, marketing copy, and project specs at lightning speed. So why does it feel like absolutely nothing is getting done?

Welcome to the era of fake productivity. We’ve been sold the illusion that AI makes teams 10x faster. The reality? It just gives you 10x more material waiting for approval.

AI doesn’t fix broken workflows; it just accelerates the speed at which you hit the same bureaucratic wall.

If a document takes 10 seconds to generate but still waits three days for manager review, what did you actually speed up? You didn’t speed up delivery; you just accelerated the backlog.

The paradox of AI productivity is that expanding autonomous execution capacity actually strains the scarcest resource in your company: human judgment. When everyone can generate a perfect first draft instantly, the queue of items waiting for a human to say “yes” or “no” grows exponentially.

We aren’t suffering from a lack of execution capacity. We’re drowning in a backlog of human judgment.

Most companies approach AI by taking their existing, bloated processes and bolting an “AI Agent” onto every job title. “Let’s have a Product Agent write the spec, a Dev Agent write the code, a QA Agent write the tests.” It sounds smart. It’s actually a trap.

Let’s look at a standard product review. Before AI: A PM spends two days writing a spec, hands it to engineering, who asks for clarifications, then QA asks about edge cases. Finally, everyone meets to argue. After AI: The PM generates the spec in two minutes. Engineering uses AI to generate their questions. QA uses AI to list edge cases. Now you have a mountain of perfectly formatted material, and you still have to sit in a room and argue about the actual decisions.

You haven’t removed the bottleneck; you’ve just made the pile of work waiting at the bottleneck taller.

Stop trying to assign an AI agent to every role. Your goal isn’t to automate the work; it’s to delete the work that shouldn’t exist.

Q: If AI speeds up individual tasks, why isn't my team shipping faster?

A: Because you optimized the writing, not the approving. AI floods the system with drafts, but if the review and decision rights haven't changed, managers just become a massive bottleneck. You're generating work faster than humans can judge it.

Q: Should I be assigning an AI agent to every role in my company?

A: No. That just copies a bloated hierarchy into software. Instead of bolting AI onto old job titles, look at the tasks. Delete the pure information-shuffling, automate the routine checks, and leave the complex conflicts to humans.

Q: Is trying to automate our entire workflow a mistake?

A: Yes, if the workflow shouldn't exist in the first place. Most companies use AI to optimize handoffs and status reports that only exist because of bad communication. Delete the unnecessary meetings and reports first, then use AI for what's left.
